Office Administrator

Department: Human Resources
Location: Medford, MA

Join a fast growing company that is transforming its industry! Financial Recovery Technologies has become a trusted partner to hedge funds, mutual funds, custodians, sovereign wealth funds, and other institutional investment firms, and our best-in-class people and technology have made FRT a market leader. As our Office Administrator, you will assist in a broad array of administrative functions, having a big impact on the employee, candidate, and client experience. The Office Administrator at FRT keeps our office running smoothly and helps ensure we are a great place to work.

Specifically, you will:

  • Create a positive and professional first impression for everyone who walks through our doors — clients, candidates, guests, and vendors alike.
    • Seated at the front desk, you will be the face of FRT, greeting all clients, candidates, guests, and vendors in a professional yet welcoming manner
    • Act as the go-to person for employees with questions related to the office and its operations.
  • Ensure the office runs smoothly and remains a pleasant, productive environment for all team members
    • Oversee the day-to-day activities that keep the office humming, from troubleshooting issues to keeping things organized.
    • Maintain fully stocked and tidy kitchen and office supply areas, ensuring nothing essential ever runs out.
    • Manage incoming and outgoing mail and packages efficiently.
  • Be an integral part of the HR team – we’d love help with:
    • Onboarding: Get new hires set up with parking, gym access, business cards, and other necessities
    • Schedule candidate phone screens
  • Coordinate travel and event logistics
    • Arrange or assist in booking flights and accommodations for employees traveling to our corporate headquarters
    • Manage the planning and execution of company events on a weekly, monthly, and annual basis — ranging from team lunches to large-scale gatherings like our annual corporate kickoff and holiday party
  • Support our internal communications programs – this includes keeping the company calendar, being responsible for Zoom invites and recording meetings as needed, coordinating our bi-weekly newsletters, and managing our company intranet.

Our ideal candidate is:

  • Incredibly friendly, welcoming, and well-spoken – a good sense of humor is a plus!
  • Customer service oriented and able to work with people at all levels, inside and outside the company;
  • Well-organized, detail oriented, and able to juggle multiple, competing priorities;
  • Highly collaborative, prioritizing collaboration over credit, and interested in building strong relationships with peers across corporate functions;
  • Excellent communication skills, strong writing and copy-editing abilities, and familiarity with Sway and Share Point (or willing to learn!)
  • Intellectually curious, with a demonstrated commitment to continuous growth; and
  • Of course, looking to join a growing company with a vibrant, entrepreneurial culture, dedicated to being the top provider in the class action recovery space.

What does FRT offer:

  • Fun and diverse colleagues
  • Health, dental, vision
  • 401k (with company match)
  • Income protection plans (life, AD&D, short- and long-term disability) and access to a suite of voluntary benefit programs
  • We are a hybrid company; in office we offer:
    • Close to public transit (walking distance to Wellington T on Orange Line)
    • Free parking onsite
    • Free drinks and snacks
    • Free access to onsite gym

This position is located in Medford, MA and requires 4/5 days a week in office.
